The picking process starts by identifying which orders are ready to ship.
Venditan Commerce automatically flags these as 'Can Ship' based on payment status, stock availability, and delivery requirements. This eliminates guesswork or delays in deciding what to pick next.
Your team can filter by Delivery Method (e.g. Royal Mail), Sales Channel (e.g. Amazon), or Fulfilment Location (e.g. warehouse vs store), then create a Picking Group – a batch of orders ready to be picked.
Venditan Commerce can also allocate orders to the most logical fulfilment point based on stock availability, delivery address, and SLA obligations.
This flexibility ensures your team is always focused on the right orders at the right time, helping you meet SLAs and reduce missed cutoffs.
A Picking List is then generated – an itemised, consolidated view of all the inventory needed to fulfil the Picking Group.
Products are organised by SKU, along with their corresponding store or warehouse bin locations. For example: 10 x Red T-shirt Size M, 5 x Yellow Shorts Size L…
Operatives use handheld scanners to follow the Picking List, scanning bins and items to confirm each pick. Venditan also supports warehouse mapping and directed picking routes, helping staff minimise steps and avoid backtracking.
Picked items are brought to a central location ready for packing. This structure prevents mispicks, allows for easy auditing, and increases productivity across your fulfilment team.
All activity is recorded against users for performance tracking and accountability.
Smarter Order Merging
Without proper systems in place, customers who place multiple orders often receive multiple shipments. It’s wasteful, inefficient, and can give the impression that you are disorganised.
Venditan Commerce can identify and merge qualifying orders – those with the same customer, address, delivery method, and sales channel – into a single shipment.

Packing: Eliminate errors and wasted time
Packing errors are a silent killer. They drive up return rates, increase support queries, and damage brand trust.
Each packing station is set up to use handheld scanners. Packing begins by scanning a barcode that identifies the order – this could be a Picking Group number, a product barcode, or a Pick Slip.
Before any items are packed, the operative scans a box barcode that logs the packaging type and size.
Each product is then scanned before being placed into the box, allowing the system to cross-check it against the order contents and record the weights and dimensions.
Pack Check, our’s guided packing system, verifies the entire process. It confirms that each product is correct, present, and assigned to the right recipient. Once verified, a Shipping Label and Packing Slip are automatically printed.
This removes the possibility of human error and avoids the cost of resending items or handling complaints. It also builds a complete record of what was packed and when – useful for auditing and customer support. For fragile or perishable items, Venditan can trigger specific packaging prompts or route orders for prioritised packing to maintain quality and compliance.
Packing functionality is role-aware – only authorised users can override key steps, ensuring consistency across stations and shifts.
Handling Exceptions
When items go missing at the packing stage, panic often follows. Teams are left unsure how to proceed, delaying fulfilment and disrupting inventory records.
Venditan Commerce gives you structured options to handle these situations clearly:
- Put the order on hold
- Reallocate or write off missing products
- Cancel and write off missing products
- Part-ship and re-order missing items

These routes allow your team to act with clarity, keep operations moving, and maintain accurate inventory and customer records. Permissions are enforced throughout – so the right people make the right decisions, every time.
Dispatch: From Packed to Collected
The final hand-off to the courier is where many businesses lose visibility and control, creating bottlenecks and support headaches. Venditan Commerce keeps this stage clean and simple.
Orders awaiting collection are organised into Open Batches. These can be sorted by Location (e.g. warehouse or store) and Courier (e.g. DPD, Royal Mail), giving your team full visibility of what’s ready to go.
If you’re using our courier integrations, Venditan Commerce will automatically send order data to the courier system.
In some cases, a printed manifest is required, which can be generated directly in the platform once packing is complete.
When the courier collects the orders and the Batch is closed, Venditan Commerce automatically sends Dispatch Confirmation emails to customers.
If the expected delivery date changes, our intelligent Delivery Date Change Detection system (DDCN/D) will proactively notify the customer, reducing inbound queries and helping you manage expectations.
Returns are also fully supported, with return shipments linked to the original order and packing record. This ensures full traceability and allows support teams to assist customers without chasing missing data.
